Job Description

Monsignor Slade Catholic School, located in Glen Burnie, MD, has an opening for a part-time Registrar.  This is a part-time, 12-month position.

Job Responsibilities:

  • Admissions - Correspond with prospective new families. Answer and follow-up on telephone and email inquiries; schedule and conduct tours of the school; mail post-tour thank you letters, prepare and send Open House invitations. Assist prospective families with the use of School Admin.
  • Maintain all enrollment data for any new students in School Admin. Provide enrollment data to administrative assistant for school database; notify all departments of any new student or withdrawals during the school year.
  • Open House - Arrange for tour guides; enlist Slade Ambassadors to assist with tours; invite participation of all extra-curricular programs and three parishes; acquire/update available curriculum information with teachers; provide schematics of room layout; update tour notes for use during event.
  • Coordinate screening and/or testing for applicants, as determined by administration; schedule teachers to conduct screening/testing, as needed; send appointment notification to parents; prepare test materials.
  • Process all accepted students – Mail acceptance letters; prepare student record jackets for incoming students; collate/track all necessary paperwork for student records; notify homeroom teacher of any new student and their start date.
  • Provide copies of all 8th grade student records necessary for high school application process; assist with preparation of Archdiocesan Referral Forms; mail application packets to area high schools; follow-up with year-end student records to appropriate high schools; after graduation, scan student records; shred scanned documents; mail final transcripts to high schools; provide the high school name each student is attending to the PowerSchool Administrator.
  • Process student transfers - Notify teachers, administration and staff; obtain authorization from parent to forward records; complete exit interview and record data; forward records to new school; scan transferring student records; shred scanned documents.
  • Maintain Student Records – including birth certificates, baptismal certificates, immunization records, vision & hearing screening results, standardized test scores, etc.; process doctor-requested information in confidential files; obtain signed authorization form from parents; forward authorization form to teachers; notify teachers, nurse and school counselor/requesting party results of any follow-up required from Vision & Hearing screening; maintain student enrollment count; prepare monthly enrollment reports for School Board; assist in tracking re-registration of families each spring
  • Coordinate with school nurse any changes in immunization requirements – after school nurse notifies registrar of new requirements, nurse should prepare statement for registrar to send to parents. Registrar will notify parents in the early spring, prior to the beginning of the affected school year. Provide nurse with medical information for any/all new students.
  • All other duties as assigned by administration.

Job Requirements

  • Bachelor’s Degree required
  • Excellent written and verbal communication skills
  • Demonstrated ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems
  • Ability to honor and maintain confidentiality
  • Prior experience working with a diverse age group/population
  • Excellent references
  • Fluent with MS Office Suite
