Job Description

St. Joseph Catholic Church, located in Taneytown, Maryland (Carroll County) is seeking candidates for a part-time Parish Secretary.  This is a 19 hours per week position.  This position is responsible for providing skilled secretarial services for the pastor, staff and parish committees; facilitating parish communications and acting as minister of hospitality to the community for the parish office.

Job Responsibilities:

1. General Secretarial

  • Prepare correspondence for pastor and parish business administrator
  • Prepare minutes, memos, agendas, current mailing lists
  • Type and maintain files for the annual budget
  • Update parish website information as needed
  • Distribute mail to the staff daily
  • Monitor and order supplies

2. Telephone

  • Answer phones; take messages and coordinate appointments for the pastor
  • Assist visitors in the parish office
  • Screen phone calls for the pastor and parish staff
  • Run errands (e.g. post office)

3. Parish Communication

  • Coordinate preparation of the Sunday bulletin
  • Coordinate information for Baptism, funerals, weddings and parishioners' registration

4. Recording

  • Maintain sacramental records, notifications and certifications
  • Maintain computer entries
  • Coordinate distribution of envelopes
  • Coordinate weekly contributions recording

5. Personnel

  • Process employee personnel action forms and health insurance form with the parish business administrator or Archdiocesan human resources office
  • Maintain parish employee personnel and benefits files

 

 

Job Requirements

  • High School diploma/equivalency required.  Some college preferred
  • A minimum of two years experience performing secretarial or related administrative support work
  • Proficient with Microsoft Office Suite [Word/Excel]
  • Ability to communicate effectively [written and oral]
  • Excellent organizational skills
  • Ability to work independently
  • Active member of a Roman Catholic parish community preferred
