Job Description

Cathedral of Mary Our Queen, located in Baltimore, Maryland, is seeking candidates for an Office Manager.  This staff position supports members of the pastoral staff, parishioners and others in the community that interact with the Cathedral on a daily basis.  This position is critical to the proper function of the Cathedral inasmuch as it enables the other members of the staff to better focus on the work that they are called to do.

The Office Manager reports directly to the Rector and is considered the senior member of the Cathedral support staff.  This person will interact with the pastoral staff, other ministry leaders (both paid and volunteer), and the facility staff in the course of performing the duties of the job.  A collaborative working relationship with the ministry staff (both paid and volunteer), his or her counterpart at the Cathedral School and among the Archdiocesan Central Services administrative staff is critical to achieving success in this position.

Job Responsibilities:

  • Train and manage receptionists
  • Maintains the Parish Calendar, including scheduling activities, events, meetings
  • Serves as primary point of contact for internal and external requests for scheduling meeting space and coordinates all necessary room setups and equipment needs
  • Ensures copiers and office equipment are maintained in proper working order and supports other office staff as needed by serving as liaison with the computer support vendor
  • Manages the timely maintenance of the sacramental record keeping system
  • Assists the development staff to coordinate Parish mailings
  • Responsible for the timely completion of the Archdiocesan Annual Consolidated report
  • Coordinates scheduling of weddings, funerals, baptisms and other events.  Contacts appropriate persons involved, communicates with families/relatives regarding procedure for services
  • Maintains Parish petty cash fund
  • Serves as backup editor of the Parish bulletin by gathering and editing content and designing layout to maximize visual appeal and to facilitate communications
  • Other duties as assigned




Job Requirements

  • Active member of a Roman Catholic parish faith community
  • High school graduate or equivalent
  • Excellent written and verbal communication skills
  • Demonstrated ability to set priorities and organize work effectively and efficiently including developing and maintain effective record-keeping systems
  • Ability to honor and maintain confidentiality
  • Experience in office management role including managing support staff
  • Fluent with MS Office Suite and MS Publisher
  • Experience working with commercial database programs is a plus
