Job Description

The Archdiocese of Baltimore is looking for an experienced Administrative Assistant to serve in the Office of the Vicar General.  If you have three to five years of Executive level support in a mid to large organization we invite you to apply.  Bring your attention to detail and your working knowledge of the Mission of the Catholic Church, and get ready for a dynamic and rewarding role.

Essential functions include (but are not limited to):

  • Maintains calendars by planning and scheduling meetings, events, conference calls, and video conferences.
  • Prepares agenda and other materials in preparation for meetings and conferences.
  • Answer and screen phone call and inquiries, compose and proofread letters, filings, minutes, etc., handle mail, create presentations and reports.
  • Establish, maintain and manage various files.
  • Assists with spreadsheet development and database management, performing routine data entry and basic analysis.
  • Coordinates with IT and serves as content editor for departmental web pages.
  • Oversees submission of documents for legal purposes to the USCCB and other entities as necessary.
  • Other duties as assigned.

Job Requirements

Required knowledge, Abilities, and Skills:

  • Practicing Catholic
  • Knowledge of the Catholic church
  • Detail oriented
  • Ability to work confidentially and discretely
  • Proficiency in Microsoft Office Programs, specifically Word, Excel and Access
  • Familiarity with survey tools
  • Familiarity with Archdiocesan administrative structures and the mission of the Catholic Church
  • Ability to multitask and meet deadlines
  • Demonstrated organizational skills and attention to detail
  • Possess a courteous and professional demeanor
  • Good communication skills
  • Strong work ethic and a willingness to take initiative for projects and programs
  • Occasional attendance at weekend or evening meetings may be requested

Minimum Education and Experience:

  • High school degree, college degree preferred.
  • Three to five years office experience.
  • Previous experience working for C-suite executives in a mid to large organization.
